Lightbox

The Lightbox is a collaboration, distribution and batch download tool.

To access your active lightbox, click the Lightbox link in the upper right-hand corner of the photos.ucdavis.edu site. Then, to see all of your lightboxes, click on the View all Lightboxes link in the upper left-hand corner of the Lightbox page. This next page is the Lightbox management page.

Logged-in users may use the Lightbox to save assets to their own workspace, and may create and manage an unlimited number of Lightboxes.

Active Lightbox:

The active Lightbox is one to which you are currently adding and removing. To change it:

From the Lightbox page:

  1. The Lightbox that is displayed by default is the current active Lightbox.
  2. Use the Currently viewing drop-down box at the top of the page to select a different one.
  3. A message will appear indicating your new selection is not your active Lightbox.
  4. Click the link Click to make it your ACTIVE Lightbox now.

From the Lightbox Toolbar:

  1. While browsing assets, the Lightbox Toolbar will appear across the bottom of the screen.
  2. Use the Select active Lightbox drop-down menu to select a different one.

From the Lightbox management page: Use the radio button in the first column to select a different active one.

Lightbox Toolbar:

This Toolbar appears at the bottom of every page when browsing assets. You can see which Lightbox is active; change your active Lightbox; see a list of your Lightboxes; or create a new one.

To hide the Lightbox Toolbar: If you no longer wish to see the Lightbox Toolbar, simply click the X on the right side of the Toolbar. On the Lightbox page, you may also choose Hide Lightbox Toolbar in gallery, under Lightbox Options.

To show the Lightbox Toolbar:; Visit the Lightbox page and under Lightbox Options on the left, select Show Lightbox Toolbar in gallery.

Create a Lightbox:

Logged-in users may create and manage an unlimited number of Lightboxes. Upon the first login, a Lightbox is automatically created. And, any new Lightbox is automatically set as the active Lightbox to allow for immediate use. To create additional Lightboxes:

If you are in the photos home or folders area, go to the Lightbox page:

  1. Click Create new Lightbox in the upper left corner.
  2. Enter a name, project name and description; click OK.

If you are browsing folders:

  1. When the Lightbox Toolbar is present at the bottom of the page, click on create a new one.
  2. Enter a name, project name and description; click OK.

Delete a Lightbox:

Deleting a Lightbox is permanent. If you have shared the Lightbox with anyone, they will also no longer be able to access it. If you delete your active Lightbox, the first Lightbox in your list will default to active. To delete a Lightbox:

When you are on the Lightbox page:

  1. Under Lightbox Options click Delete this Lightbox.
  2. Confirm that you would like to delete the Lightbox.

From the Lightbox management page:

  1. Locate the Lightbox from the All Lightboxes tab.
  2. Click the trash can icon in the Actions column.
  3. Confirm that you would like to delete the Lightbox.

Add assets to a Lightbox:

From the thumbnails pages:

  1. Navigate to the asset of interest within a folder by either browsing or searching.
  2. Click on the grid icon below an asset.
  3. When the grid turns to a check mark, the asset has been added to your active Lightbox.

From the asset preview:

  1. When viewing the asset preview, click on Add to Lightbox to the upper right of the asset.
  2. The link will change to Remove from Lightbox to indicate it has been added.

From a folder:

To add all assets in a folder to a Lightbox, navigate to the thumbnails for a given folder and click on Add All to Lightbox on the upper right. If your Lightbox Toolbar is visible, you will be able to see the number of assets increment.

Remove assets from a Lightbox:

From the thumbnails pages:

  1. Navigate to the asset to be removed from the active Lightbox (assets that are in the active Lightbox are marked with a check mark).
  2. Click on the check mark icon below the asset.
  3. When the check mark turns back to the grid icon, the asset has been removed from your active Lightbox. If your Lightbox Toolbar is visible, you will be able to see the number of assets decrease.

From the asset preview:

  1. When viewing an asset preview, click on Remove from Lightbox on the upper right.
  2. The link will change to Add to Lightbox to indicate it has been removed.

From the Lightbox:

  1. From the Lightbox page, locate the asset to be removed from the Lightbox.
  2. Click on the check mark icon below the asset.
  3. The asset will disappear from the Lightbox page to indicate it has been removed.

Empty all assets:

  1. From the Lightbox page, go to Lightbox Options and click Empty this Lightbox.
  2. Confirm the action to remove all assets from the Lightbox.

Download batch of assets from a Lightbox:

  1. From the Lightbox page, select the Lightbox to from the Currently viewing drop-down box.
  2. Under Download Options on the left, choose Download assets to computer.
  3. Select the size to download.
  4. Click Download.

Note: The download is delivered as a zip file and may take a few minutes to prepare. If you navigate away from the page, a link to your download will be sent to your email address. If you choose to wait for the download, click the Download Now link once it appears to receive your download.

Share a Lightbox:

You can share a Lightbox with other WebDAM users. Lightboxes that have been shared with you are called In Shares. Lightboxes that you are sharing with others are called Out Shares.

To share a Lightbox from the Lightbox page:

  1. Select the desired Lightbox from the Currently viewing drop-down box.
  2. Under Lightbox Options on the left, click Share this Lightbox with others.
  3. Enter one or more email addresses in the Share with box, separating addresses with a comma.
  4. Click the Check user(s) exist link. If the user(s) do not exist, you can still send the share invite, but they will be prompted to register before they can receive the share.
  5. Enter an optional email message.
  6. If you would like the user(s) to be able to add assets, remove assets, and change Lightbox notes, click the User can modify Lightbox checkbox. If this is not selected, the user(s) will only be able to view the Lightbox and download (if they have the appropriate access levels).
  7. Click Share.
  8. The user(s) will receive an email to let them know you have shared the Lightbox.

To share a Lightbox from the Lightbox management page:

  1. From the Lightbox page, click View all Lightboxes to visit the Lightbox management page.
  2. From the All Lightboxes tab, locate the Lightbox that you would like to share.
  3. Click the people icon to open the share dialog box.
  4. Follow the same instructions as above to send the share.

To see Lightboxes shared with you (In Shares) or that you are sharing with others (Out Shares):

  1. From the Lightbox page, click View all Lightboxes to visit the Lightbox management page.
  2. Click the In Shares or Out Shares tab to view Lightboxes.

Note: Your In Shares are also listed in the Currently viewing drop-down box at the top of the Lightbox page alongside your own Lightboxes.

To change the sharing status of an Out Share:

  1. From the Lightbox page, click View all Lightboxes to view the Lightbox management page.
  2. From the All Lightboxes tab, locate the Lightbox that you wish to stop sharing.
  3. Under the Share Status column, click the link Out Share. From here you can remove a user that you are sharing with or change the user's share permissions.

To remove a Lightbox that someone has shared with you:

  1. From the Lightbox page, click View all Lightboxes to view the Lightbox management page.
  2. From the In Shares tab, locate the Lightbox you no longer wish to see.
  3. Click the trash icon in the Actions column. This will remove the sharing only and will not delete the Lightbox from the owner's list of Lightboxes.

Send assets via two methods:

FTP Lightbox

FTP Lightbox provides an easy way to FTP assets from WebDAM to an FTP account. You must know the recipient's server name, username and password to use this feature:

  1. From the Lightbox page, select the Lightbox to send from the Currently viewing drop-down box.
  2. Under Download Options on the left, choose FTP assets to another computer.
  3. Select the size to send and complete the FTP and email form.
  4. Click FTP Images.

Note: It may take a few minutes for the assets to reach the FTP server as they are being prepared.

Email a Download Invite:

Email a Download Invite allows you to send assets to anyone via email without a large attachment. This feature only requires that you (the sender) have download access to the assets being sent; the recipient does not need a user account.

  1. From the Lightbox page, select the Lightbox to send from the Currently viewing drop-down box.
  2. Under Download Options on the left, choose Email a Download Invite.
  3. Select the size to send and complete the email form. Click Send email.

Note: It may take a few minutes for the download to be prepared and the recipient to receive the email invite.

Recipients of an invite will receive an email with a hyperlink inviting them to download the Lightbox. Once clicked, the download will commence immediately. They will be prompted to save the zip file of assets to their computer. The Download Invite expires in 48 hours.

Lightbox management page:

You can view and manage all your Lightboxes at once from the Lightbox management page. To view the Lightbox management page, go to the Lightbox page and click View all Lightboxes. From here, you will see four tabs:

  • All Lightboxes: All Lightboxes that you can view
  • My Lightboxes: Lightboxes that you have created
  • In Shares: Lightboxes that have been shared with you by other users
  • Out Shares: Lightboxes that you have shared with others

To view the Lightbox page for any Lightbox in the list, click the name of the Lightbox.

Other lightbox options:

Email a Lightbox link:

You can send a link to a Lightbox to anyone via email. This link provides a snapshot of your Lightbox only and does not provide download access to the assets in a Lightbox (see Sending assets) nor does it allow you to share the Lightbox (see Lightbox sharing). However, emailing a lightbox link is useful if you would like to send a non-user a static view into your asset selections.

  1. From the Lightbox page, select the Lightbox that you wish to email a link from the Currently viewing drop-down box.
  2. Under Lightbox Options on the left, click Email link to this Lightbox link.
  3. Complete the email form and click Send email. The recipient will receive an email with a link to view the Lightbox. If they do not have a user account, they can view the Lightbox but not save or download it. If they do have a user account, upon login a copy of the Lightbox will be automatically saved for them.

Print Contact Sheet:

  1. From the Lightbox page, select the one that you wish to print from the Currently viewing drop-down box.
  2. Under Lightbox Options click on Print contact sheet.
  3. A pop-up window appears with the Simple layout for the print view.
  4. To include the asset metadata in the printable view, use the Select view drop-down box in the upper right corner of the pop-up window to choose Detailed.
  5. Use your browser's print option to print.

Copy a Lightbox:

  1. From the Lightbox page, select the one that you wish to copy from the Currently viewing drop-down box.
  2. Under Lightbox Options click on Copy this Lightbox.
  3. Enter a name and click Copy in the dialog box.

Copy assets from one Lightbox to another:

  1. From the Lightbox page, select the one that you wish to copy assets from the Currently viewing drop-down box.
  2. Select the assets to copy using the checkboxes in the upper left of each thumbnail.
  3. Once your selections are made, click the Copy selected link in the upper right.
  4. Select the Lightbox to copy to within the dialog box and click OK.

Move assets from one Lightbox to another:

  1. From the Lightbox page, select the one that you wish to move assets from the Currently viewing drop-down box.
  2. Select the assets to move using the checkboxes in the upper left of each thumbnail.
  3. Once your selections are made, click the Move selected link in the upper right.
  4. Select the Lightbox to move within the dialog box and click OK.
