Types of Searches

Basic: The small search box on the left side of the photos home page allows you to perform a quick word search across all fields. Searches may also be narrowed using the drop-down box.

Power Search: The Search link in the navigation bar takes you to a Power Search that provides additional options, such as the ability to filter a search by Folder or a range of dates. You may also select keyword(s) from a defined list. To select multiple keywords from the list, hold down a Mac’s <Command> key or a PC’s <Ctrl> key while clicking the desired selections.

Keyword Quick Search: When viewing an asset preview page, a list of keywords will be displayed to the right of the asset. You may quickly locate other assets containing the same keyword by clicking the keyword hyperlink. A printable PDF of keywords is also available for download.

Search Techniques

AND operator: To locate results containing multiple search terms, simply enter the word or use the AND boolean. (In either case, the words may be found in any order. When searching across all fields, the results may not be present in the same field).

OR operator: To locate results containing any of your search terms, use the OR operator:

hot or dog

Negative operator: To exclude a word from the search results, add a minus sign (-) in front of the word:

hot -dog

Phrases: To find a phrase, use quotes around the words (all words must be found together and in order)

"hot dog"

Partial match: When entering search terms, the whole word is required and partial word matches are not automatically found (for example, searching the word 'tree' would not return results with the word 'trees'). To find a partial word match, an asterisk must be added to the word. An asterisk may only be used to conclude a word:

hot*

Search by filename: Filenames are treated differently than other fields. When searching for a filename across all fields, you may enter the filename with or without the extension to locate the file. And, when searching within the filename field, the exact filename is not required and partial word matches are also returned in the results.

Metadata fields: When searching across all fields, your search terms may be present in any metadata fields within the results. When searching within a specific field, search terms must be present in the selected field only.

Power Search: When searching across multiple criteria on the Power Search page, an AND operator is implied. In this example, only assets with the terms hot and dog and a vertical orientation will be returned:

Search terms = hot dog

Orientation = vertical

Keyword list: A keyword list is provided on the Power Search page. When selecting multiple terms from the keyword list, an OR operator is implied. For instance, selecting the keywords tree, apple, and dog will return results that include ANY of these terms.

Search results: The Refine Search box on the left allows for changes in search criteria or further refining of search results. When refining your search, you are conducting a completely new search request. To sort your search results, use the drop down box at the upper right.
